SYNRGII is a calling, texting and lead management service for real estate businesses, operated by KOD Holdings LLC ("SYNRGII", "we", "us"). This policy explains what we collect, why, who helps us process it, how long we keep it, and the choices you have. It covers the SYNRGII app at app.synrgii.com and the calls and text messages sent through it.
Two kinds of people this covers
Our customers are the businesses that sign up for SYNRGII and the people on their team. Contacts are the people our customers call, text or keep records about, such as property owners. For contact data, the customer decides what is collected and why, and we process it on the customer's behalf. If you are a contact and want to know what a business holds about you, or want it removed, ask that business first. You can also write to us and we will pass your request on and help.
What we collect
- Account details: name, email address, phone number, job title, password (stored only as a secure hash by our login provider), team roles, and the business profile a customer gives us for phone carrier registration (legal business name, tax ID, address, website).
- Billing details: plan, balance, charges and payment history. Card numbers are handled by our payment processor; we keep only the card brand, last four digits and expiry date.
- Contact records a customer imports or enters: names, phone numbers, email and mailing addresses, property details, notes, tags, deal information, and the original rows of any file they import.
- Call records: numbers, times, duration, outcome and cost. When a customer turns on recording or live transcription, the recording, a written transcript and an automatic summary. Voicemails left for a customer, and their transcripts.
- Text messages: the phone numbers involved, message content, delivery status, and each contact's opt in and opt out history (see "Text messages" below).
- Email: if a customer connects a Gmail or Microsoft 365 mailbox, the connection credentials (encrypted) and a record of messages sent from SYNRGII.
- Usage and support: an activity log of actions taken in the app, support requests and screenshots you send us, and basic technical information such as browser type.
How we use it
To run the service for our customers: placing and routing calls, sending and receiving texts, showing conversations, keeping lead records, transcribing and summarizing calls when a customer asks for it, looking up property information, billing, preventing fraud and abuse, honoring opt outs and do not call requests, meeting legal and carrier obligations, and answering support requests, and improving the service, such as the call coach. We do not sell personal information, we do not use it for advertising, and we do not use customer or contact data to train our own AI models.
Text messages
When a business that uses SYNRGII texts you, we store the messages, the phone numbers involved and your opt out choices so the business can see the conversation and so we can honor STOP. Message frequency varies by conversation. Message and data rates may apply. Reply STOP to any message to stop texts from that business, START to receive them again, and HELP for help, or write to support@synrgii.com.
No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties or affiliates for any purpose, including marketing, promotional or lead generation purposes. The service providers listed below that help deliver messages receive only what they need to deliver them, and are bound not to use it for anything else. Consent one business collects is never passed to another business.
We keep a record of each opt out, and of each consent a business records or confirms in SYNRGII (who recorded or confirmed it, when, how, and the wording they confirmed), for at least four years, so the business and we can show what was recorded and that opt outs were honored.
Who helps us process data
We share data only with service providers that help us run SYNRGII, and only for that purpose:
- Cloud hosting, storage and AI processing (Cloudflare), and our database and login provider (Supabase).
- Telecommunications carriers that connect calls, deliver text messages, provide phone numbers and store call recordings.
- Our payment processor (Stripe).
- Speech to text providers that create live call transcripts (AssemblyAI, and OpenAI as a backup).
- Google or Microsoft when a customer connects their own mailbox, and Google for street view images of a property.
- Mapping and property data services (such as Esri, the US Census geocoder, OpenStreetMap and Redfin), which receive a property address to return map and property details.
- Our email delivery and internal alerting tools, for account emails and support requests.
We may also disclose information when the law requires it, to protect people from harm or fraud, or as part of a merger or sale of our business, in which case this policy continues to apply. All of the above exclude text messaging originator opt-in data and consent; that information will not be shared with any third parties.
How we protect it
Data travels over encrypted connections. Mailbox and phone carrier credentials are stored encrypted or in restricted storage that only our servers can read. Access inside each customer account follows the roles the account owner sets. No method is perfect, and we will tell affected customers as the law requires if we learn of a breach that affects their data.
How long we keep it
We keep customer and contact data while the customer's account is open. An account owner can delete call recordings and transcripts at any time. After an account closes we keep its data until the customer asks us to delete it. Even then we keep what we need for billing, legal, tax, dispute and carrier compliance reasons, and consent and opt out records for at least four years. To ask for deletion, write to us.
Your choices
- Reply STOP to any text to stop texts from that business.
- Customers can correct their records and export contact lists in the app, and can ask us to delete their account data by writing to support@synrgii.com. We confirm in writing.
- Depending on where you live, you may have rights to access, correct, delete or get a copy of your information. Write to us and we will respond within the time the law requires.
Cookies and browser storage
The app uses your browser's storage to keep you signed in and to remember screen settings. We do not use advertising or tracking cookies. An optional music player in the app loads YouTube, which may set its own cookies when used. An optional music player in the app loads YouTube, which may set its own cookies when used. Changes to this policy
If this policy changes, the date and version at the top change with it. We tell customers about material changes by email or in the app before they take effect.
